Purpose


Bodyfocus Wellness Centre is committed to identifying, assessing, managing, and monitoring risks that may affect the organisation, its patients, employees, services, operations, assets, or reputation.


This policy establishes the organisation's approach to risk management and supports informed decision-making, service quality, safety, compliance, and continuous improvement.



Scope


This policy applies to all organisational activities, services, operations, and decision-making processes undertaken by Bodyfocus Wellness Centre.



Policy Statement


Bodyfocus Wellness Centre recognises that effective risk management supports:


  • Safe and high-quality service delivery

  • Patient wellbeing and safeguarding

  • Workplace health and safety

  • Organisational sustainability

  • Regulatory compliance

  • Business continuity

  • Information security

  • Continuous improvement


The organisation is committed to proactively identifying and managing risks appropriate to its size, services, and operating environment.



Risk Management Principles


Bodyfocus Wellness Centre will:


  • Identify risks that may affect the organisation and its stakeholders.

  • Assess the likelihood and potential impact of identified risks.

  • Implement reasonable controls to reduce or manage risks.

  • Monitor risks and the effectiveness of controls.

  • Review risks regularly and when circumstances change.

  • Use incident, complaint, audit, and feedback information to inform risk management activities.

  • Promote a culture of shared responsibility for risk management.



Risk Categories


Risks may arise from a variety of sources, including but not limited to:


Clinical Risks

Risks affecting the safety, wellbeing, or outcomes of patients.


Workplace Health and Safety Risks

Risks affecting employees, contractors, students, patients, or visitors.


Information and Cybersecurity Risks

Risks relating to privacy, confidentiality, information security, technology systems, or data management.


Workforce Risks

Risks relating to recruitment, staffing, competency, professional conduct, or workforce capability.


Compliance and Regulatory Risks

Risks relating to legal, contractual, professional, or regulatory obligations, including NDIS requirements.


Financial Risks

Risks affecting the financial sustainability or operation of the organisation.


Business Continuity Risks

Risks affecting the organisation's ability to continue delivering services during disruptions or emergencies.


Reputation Risks

Risks that may adversely affect public confidence, stakeholder relationships, or organisational reputation.



Risk Identification


Risks may be identified through:


  • Staff feedback

  • Incident reports

  • Complaints and feedback

  • Workplace inspections

  • Audits and reviews

  • Service delivery activities

  • Legislative or regulatory changes

  • Management review processes

  • External events or environmental changes


Personnel are encouraged to report identified risks to management.



Risk Assessment and Control


Identified risks will be assessed according to their likelihood, potential consequences, and overall impact on the organisation.


Where appropriate, controls may include:

  • Policies and procedures

  • Staff training

  • Supervision and monitoring

  • System improvements

  • Environmental controls

  • Technology controls

  • Business continuity measures

  • Other risk mitigation strategies


Risk controls should be proportionate to the nature and significance of the identified risk.



Risk Register


Bodyfocus Wellness Centre will maintain a Risk Register to document and monitor identified organisational risks.


The Risk Register may include:

  • Risk description

  • Risk category

  • Likelihood

  • Consequence

  • Existing controls

  • Responsible person

  • Review date

  • Current status


The Risk Register forms part of the organisation's governance framework and supports ongoing monitoring and review.



Monitoring and Review


Risks and associated controls will be reviewed periodically and whenever significant changes occur that may affect the organisation.


Risk information may be informed by:

  • Incident trends

  • Complaints and feedback

  • Audit findings

  • Training outcomes

  • Regulatory changes

  • Organisational performance indicators


Where required, additional controls or corrective actions may be implemented.



Continuous Improvement


Bodyfocus Wellness Centre is committed to using risk management activities to support continuous improvement.


Lessons learned from incidents, complaints, audits, reviews, and other organisational activities may be incorporated into future planning, policy development, and service improvement initiatives.



Responsibilities


Management


Management is responsible for:

  • Maintaining the organisational risk management framework.

  • Monitoring organisational risks.

  • Maintaining the Risk Register.

  • Reviewing risk controls.

  • Supporting continuous improvement activities.

  • Ensuring appropriate responses to significant risks.


Employees and Other Personnel


Personnel are responsible for:

  • Identifying and reporting risks where appropriate.

  • Following organisational policies and procedures.

  • Participating in risk management activities relevant to their role.

  • Supporting a culture of safety, compliance, and continuous improvement.
