Purpose


Bodyfocus Wellness Centre is committed to maintaining a safe environment for patients, participants, employees, contractors, students, and visitors.


This policy outlines the organisation's approach to worker screening and suitability requirements for personnel engaged in roles that may involve contact with patients or participants, or access to sensitive information.



Scope


This policy applies to all employees, contractors, students, volunteers, and other personnel engaged by Bodyfocus Wellness Centre where worker screening requirements are applicable.



Policy Statement


Bodyfocus Wellness Centre is committed to:

  • Recruiting and engaging suitable personnel.

  • Meeting applicable worker screening obligations.

  • Maintaining safe service environments.

  • Monitoring ongoing compliance with screening requirements.

  • Taking appropriate action where screening requirements are not met.



Worker Screening Requirements


Personnel may be required to hold one or more of the following, depending on their role and responsibilities:

  • NDIS Worker Screening Clearance

  • Working With Children Check

  • Professional registration

  • Professional indemnity insurance

  • Other role-specific checks or clearances


The organisation may determine additional requirements where reasonably necessary to support participant safety and organisational compliance.



Pre-Engagement Screening


Where applicable, required screening clearances must be obtained and verified prior to commencement of duties.


Personnel may be restricted from undertaking certain duties until required screening requirements have been satisfied.



Ongoing Compliance


Personnel are responsible for:

  • Maintaining required clearances.

  • Advising management of any changes that may affect their eligibility or suitability.

  • Providing updated documentation when requested.


Management may periodically review screening records to ensure ongoing compliance.



Monitoring and Verification


The organisation will maintain records of relevant worker screening clearances and related compliance documentation.


Records may include:

  • Clearance numbers

  • Expiry dates (where applicable)

  • Verification dates

  • Associated supporting documentation


Relevant records will be maintained within approved workforce management systems.



Changes in Circumstances


Personnel must notify management as soon as practicable if:

  • A clearance is suspended, revoked, cancelled, or expires;

  • They become subject to conditions that may affect their eligibility;

  • They become aware of circumstances that may impact their suitability to perform their role.


Management will assess any reported changes and determine appropriate actions.



Non-Compliance


Where required screening requirements are not met, Bodyfocus Wellness Centre may:

  • Restrict duties;

  • Suspend access to certain work activities;

  • Require updated documentation;

  • Take other reasonable actions necessary to manage risks and compliance obligations.



Confidentiality


Worker screening information will be managed confidentially and in accordance with organisational privacy and information management requirements.

Access to worker screening records will be limited to authorised personnel.

  • Maintaining screening records;

  • Monitoring compliance requirements;

  • Responding to changes in screening status;

  • Managing associated organisational risks.


Employees and Other Personnel


Personnel are responsible for:

  • Obtaining required clearances;

  • Maintaining compliance with screening requirements;

  • Providing requested documentation;

  • Reporting changes in circumstances that may affect eligibility.
