Purpose


This procedure outlines the process for onboarding and inducting new employees at Bodyfocus

Wellness Centre to ensure they are appropriately inducted, trained, and supported to perform their role safely and effectively.



Scope


This procedure applies to all employees, contractors, students, and other personnel engaged by Bodyfocus Wellness Centre.



Procedure


1. Pre-Commencement Requirements


Prior to commencing employment, the following documentation must be obtained and recorded, where applicable:

  • Employment agreement

  • Proof of identity

  • Evidence of qualifications

  • Professional registration

  • Professional indemnity insurance

  • NDIS Worker Screening clearance

  • Working With Children Check

  • Right to work in Australia documentation

  • Other role-specific compliance requirements


Documentation is maintained within the employee's personnel record in Deputy.


2. Initial Workplace Orientation


On commencement, new personnel will be provided with an orientation to:

  • Bodyfocus Wellness Centre and its services

  • Workplace facilities and amenities

  • Emergency exits and procedures

  • Communication systems

  • Rostering and attendance requirements

  • Workplace expectations

  • Introduction to relevant team members


3. Bodyfocus Staff Portal Induction


All new personnel are required to complete the Bodyfocus Staff Portal induction program.


The induction program is delivered electronically through the Bodyfocus Staff Portal and consists of a series of learning modules covering organisational orientation, workplace health and safety, infection prevention and control, privacy and information management, professional responsibilities, NDIS foundations, mandatory external training, and other topics relevant to the employee's role and organisational requirements.


Employees may be required to complete knowledge checks, quizzes, acknowledgements, or other learning activities throughout the induction program.


4. External Mandatory Training


Where required, employees must complete external training programs relevant to their role.


This may include:

  • NDIS Worker Orientation Module

  • Infection Control Training

  • Professional registration requirements

  • Other mandatory training identified by management


Employees are responsible for obtaining and retaining completion certificates issued by external training providers.


5. Completion Certificates


Upon completion of the Bodyfocus Staff Portal induction program, employees must:

  1. Download their completion certificate.

  2. Upload the certificate to Deputy using the designated document request.

  3. Upload any required external training certificates to Deputy.


Certificates become part of the employee's personnel record.


6. Verification of Completion


Management will review submitted documentation and verify completion of required induction and training activities.


An employee may not undertake certain duties until required induction and compliance requirements have been completed.


7. Probationary Support


During the probation period, employees will receive support, supervision, and feedback appropriate to their role.


Additional training may be assigned where knowledge gaps or development needs are identified.


8. Ongoing Training and Policy Updates


Bodyfocus Wellness Centre is committed to ongoing professional development and continuous improvement.


Employees may be required to complete:

  • Refresher training

  • Updated learning modules

  • Policy acknowledgements

  • Compliance training

  • Role-specific professional development


Updated policies and organisational documents may be distributed through Deputy and employees may be required to acknowledge receipt and understanding.


Records of completed training and acknowledgements will be maintained within the employee's personnel record.

  • Providing access to induction resources

  • Monitoring completion of required training

  • Maintaining training records

  • Providing support and supervision

  • Ensuring compliance with organisational and legislative requirements


Employees


Employees are responsible for:

  • Completing required induction activities

  • Participating in mandatory training

  • Uploading required certificates and documentation

  • Seeking clarification where required

  • Complying with organisational policies and procedures
